Using the Discord Server for GvG Events
Below is a guide on how we use different Discord features to organise and manage voice communication for optimal coordination.
Communication Setup
Discord Stage
- Role: Reserved for shot callers only.
- Purpose: Allows the entire server to listen in, while only designated shot callers can speak.
- Benefit: Ensures clear, top-down communication without background noise from multiple voices.
- Limitation: Limits upward communication from party leaders to shot callers, as only shot callers can speak on the stage - we could use a relay channel for this or we could have all party leaders on the stage, or better yet role leaders on the stage.
Party/Group/Role Channels
- Role: Open voice channels for DPS groups or specific roles.
- Purpose: Allows open mic communication within DPS groups, enabling team members to coordinate with each other in real time.
- Benefit: Encourages coordination within role groups see doctrine doc.
Relay Channel - may not be needed, I dunno
- Role: For party leaders or organisers who use a second Discord account.
- Setup: Leaders log in using either Discord web or the nightly build to access two instances simultaneously.
- Purpose: This channel is designed for leaders from each group to relay messages to other groups.
- Benefit: Provides a way to pass critical information between groups without overwhelming the main shot caller channel.
Testing New Setups
whisper groups (as available on another platform) would allow for targeted communication to specific groups, which is challenging to achieve with Discord alone.
Scaling for Large Events
As our guild size grows (e.g., 60+ active members), Discord may become limited for complex communication needs. We have two choices:
- Use Discord Exclusively: Accept limitations in organisation but keep all communication within one familiar platform.
- Integrate Another Platform: Recognise that Discord may not meet all our needs and explore an additional platform for more advanced voice organisation.
Suggested Discord Setup for GvG Events

Create an “Event-Staging” Voice Channel:
- All members join this channel at the start of the form-up process.
- Allows leaders to see everyone in one place and organise efficiently.

Create Group-Specific Voice Channels:
- Channels named based on roles or group numbers, e.g., “Frontline Group #1,” “Event Group #2.”
- Leaders can move members into these channels once roles are assigned, providing a clear structure for communication.

In-Game Party Formation:
- After assigning groups in Discord, one person in each group should create the in-game party.
- Members can self-organise within the in-game party and focus comms within their assigned Discord channel.
Benefits of This Setup
- Speeds Up Group Formation: Quickly assess the availability of roles and drag members to assigned channels.
- Allows Self-Organisation: Each group can coordinate internally without disrupting other teams.
- Keeps Voice Chat Clear: Limits non-essential chatter, especially during combat, while allowing social interaction when out of combat.
Requirements

Flair System:
- All members should add a symbol or emoji to their username that represents their role (e.g., tank, healer, ranged DPS, melee DPS).

Stage Setup:
- Configure the Discord Stage settings to ensure shot callers can communicate with everyone.
- Ensure only designated shot callers have speaking permissions, while others can listen.

Voice Channel Structure:
- Set up channels for the staging area and at least 7 event-specific groups.

Permissions for Leaders:
- Advisors, guardians, and shot callers should have permission to drag and drop members between voice channels, ensuring efficient organisation.
